Case · English academy in Busan

From a shared spreadsheet and a group chat
to one screen per role

An English academy ran its daily operations on one shared spreadsheet and a staff group chat. I designed and built an operations system that keeps the same data but gives the director, teachers, study-lab staff and parents each their own screen.

Fictional academy and data. Best viewed on a computer.

How it went

What changed

  1. Problem

Too many spreadsheet tabs. Filters hid the row being edited, formulas broke when rows were deleted, and absences or student issues got lost in a busy staff group chat.

  2. Insight

The data itself was fine. The problem was the entrance: everyone opened the same sheet, so everyone saw everything and edited in the wrong place.

  3. Design

Nine role-based screens on the same data model. One curriculum and class-level table drives lesson plans, report cards and parent reports automatically.

  4. Build

A director home, teacher class records, study-lab records with automatic retests, a shared schedule synced to Google Calendar, student notes routed to the right person, and report cards that fill themselves.

  5. Next

Staff and rule settings, and parent messages sent straight from the monthly report. The same structure is being packaged for other academies.

We start by finding where time leaks and which students are slipping out of view.

At first the teacher turns the light on. In the end, students turn it on themselves.
